Fleet Management is a major part of everyone’s business, whether it be managing large expensive capital items or small low cost items, all having been purchased at a cost to the company.
This fleet cost must be managed by ensuring each item is appropriately tracked and counted. The Maintenance Module within the Coordimax Enterprise Fleet application software allows you to do this while the asset module tracks the movement of the asset or other capital equipment once it is transferred to a general work environment.
It is often the case where an order is placed for 50 items where only 30 are to be used immediately and the other 20 are to be held in a storage location until required. By the time it is necessary to use one of the 20 spare items, they are forgotten about and another 50 items are ordered of which 20 go to the store and 30 are used. This issue affects all types and sizes of businesses.
Coordimax’s integration between the Stock and Asset Fleet Management Modules will enable businesses to record stock details such as reorder levels, shelf life, move stock between warehouse store locations while storing the same item in the asset module with data such as serial number, detailed description, attributes and components and have the location defined as a warehouse or store. Once the vehicles, trucks and other capital equipment are moved out of the store location in the asset module it is then identified as being an asset with a new location such as a staff member’s desk and the count of available stock in the stock module is reduced by 1.
Using the Coordimax fleet management software tool will ensure the quantity of an item in store is easily accessed while the number of each item out in the field is also readily available. The goal being to reduce the number of unused items sitting on warehouse shelves and managing satellite sublimation printing stores by sharing assets between store locations rather than having to order more items.
Notification emails can be automatically generated and sent to the purchasing group to advise a stock item has reached its minimum reorder level and requires an order to be raised. Therefore ensuring you do not run out of any particular item.
Analysis of purchasing trends can be done not only on what has been purchased but also which departments are using which items and assets. By focusing on the purpose of use of a particular item it is possible to identify if there are any similar items in the store locations which may be used as a substitute should a particular item not be available or should there be a large quantity of an item sitting dormant on a shelf which needs to be used and can be done so by sending it out of the store as a substitute for a requested item reducing the length of time the item remains on a warehouse shelf.
The other component to analyzing purchasing trends is to generate forecasts for future years for asset, fleet and stock requirements and generate a budget to cover these estimated required volumes.
The integration between the system modules is also reducing the volume of data entry required by sharing table data and processing updates when a change is made in one module to another module.
